Event planners managing global events were facing major hurdles in ground mobility logistics. Vendors had to be sourced and managed in every region. Guest arrival data, flight delays, and itinerary changes - none of this was visible in real-time. The process was heavily manual. It relied on spreadsheets, emails, and calls. There was no unified platform to:

The client needed a simple, intuitive web portal that could reduce administrative overhead, automate cost-optimised logistics planning, and dramatically improve response times for RFPs (Requests for Proposals). Problem Definition

Global event mobility logistics had become too complex to be handled by legacy manual systems. Planners were managing dozens of vendors in multiple countries with little transparency into flight delays or guest arrival changes. Vendor pricing, service quality, and availability were hard to compare. Vehicle allocation was often sub-optimal. The client recognised that without a unified system, they could not scale effectively or reliably deliver high-quality service.

Discovery & Research

We began by understanding the challenges of every stakeholder, including planners, coordinators, and administrative users.

We defined three key personas - Planner, Vendor, and Admin - and mapped their end-to-end journeys to design seamless experiences for each.
